How much does an AI agent cost for a small business?

A small business pays $100 to $500 a month for a no-code agent, and a typical agency charges $18,000 or more for a custom build. OperatorZero builds start at $6,000 at a fixed price, and most single workflow builds land between $8,000 and $15,000.

What you pay depends on how many of your systems the agent touches and how much it does without a person. Bring one workflow to the free AI assessment, a 30-minute call with Mitchell, and leave with a price range for it.

Sources, read November 4, 2026: Advantech ITS (March 23, 2026) for the no-code and configured rows, and Zeebrix (October 30, 2026) for the agency build and running costs. A Hyparz roundup (October 18, 2026) cites $7,000 to $15,000 for one custom workflow. Other vendors price differently, so treat every range as a starting point and confirm with a written quote.

What moves the price up or down.

Two quotes for an agent that sounds identical can differ by $20,000. These four things explain most of the gap.

How many systems the agent connects to

Each system the agent reads or writes in needs a login and error handling. An agent that works inside your CRM costs less than one that also touches your help desk and accounting software. Start with one system and add the rest after the first version works.

How much it does without a person

An agent that drafts the work while a person approves it costs less than one that acts alone, because full autonomy needs more testing and a way to undo mistakes. OperatorZero builds stop for a person to approve what matters.

How clean your files and records are

If your CRM holds three spellings of every customer, someone has to fix that before the agent can use it. Budget time for the cleanup, and ask any builder whether it is in the quote.

Phone calls and regulated data

Zeebrix puts a phone agent at 30% to 60% more than the same agent in chat or email. Health and finance work add security reviews and audit logs. If either applies to you, expect the top of every range.

A fixed price tied to a written scope puts the estimate risk on the builder. Ask for it before you sign anything.

What it costs to run an agent each month.

Model usage is billed per token, and at small business volumes it is the smallest line. Zeebrix's example is an agent that handles 2,000 enquiries a month on a mid-tier model, which costs about $20 in model usage. Its typical total running cost for a small or mid-sized business, with hosting and monitoring included, is $200 to $1,500 a month.

Plan for maintenance as well. A 2026 engineering write-up cited by Hyparz puts it at 15% to 25% of the build cost per year, which is about $1,500 to $2,500 a year on a $10,000 build. Providers also retire model versions on a schedule, so someone has to re-test the agent when that happens.

Where OperatorZero fits.

Builds run inside the tools your team already uses, so there is no new subscription to manage. After handover your team runs what we built, and most teams keep us on for monthly advisory from $2,500 a month to decide what to build next. See what we build and a real example.

Price your own agent in 5 steps.

Do these before you ask anyone for a quote.

1Pick one workflow.

Choose the task that eats the most hours each week, such as quote follow-up or document sorting.

2Write down what it costs today.

Count the hours a week and multiply by the loaded hourly cost of the people doing it. This is the number the agent has to beat.

3Try the tool you already pay for.

Many CRMs and help desks now include agent features. Give one a month on the workflow before you buy anything.

4Price a build only if the work crosses systems.

If the job spans tools that no platform connects, or your data has to stay in your own accounts, a custom build earns its price.

5Measure after 30 days.

Compare hours and errors with the baseline from step 2, then decide whether to widen the agent or stop.

What a fair quote includes.

  • The systems the agent connects to, listed by name.
  • How many real examples the agent must pass before launch, and who writes them.
  • What happens when the agent is wrong, and who gets the alert.
  • An estimate of monthly running costs at your expected volume.

Get a price before you commit.

The $2,500 AI workflow audit prices one workflow step by step and fixes the top AI win, with the report in 5 business days. The fee comes off your first month of advisory or a build. For how audit prices compare with the market, see what an AI audit costs.

If your team also needs to use what gets built, our team workshops start at $950 for a 90-minute lunch and learn, with half-day and full-day versions for up to 15 people.

How much does an AI agent cost for a small business?

A no-code agent runs $100 to $500 a month, and a configured setup by a partner runs about $3,000 to $12,000 plus $200 to $600 a month. Custom builds start around $18,000 at a typical agency, while OperatorZero builds start at $6,000 at a fixed price.

How much does a simple AI agent cost?

A simple agent on one workflow inside one system is the cheapest custom build. At OperatorZero most single workflow builds land between $8,000 and $15,000, with builds from $6,000. If the work fits a tool you already pay for, its built-in agent features may cost little or nothing extra.

How much does it cost to run an AI agent each month?

Zeebrix puts a typical small or mid-sized business at $200 to $1,500 a month including hosting and model usage, with model usage the smallest line. Maintenance adds roughly 15% to 25% of the build cost per year.

Is it cheaper to buy or to build an AI agent?

Buying a subscription is cheaper at low volume. A custom build pays off when the work crosses systems no platform connects, or when your data must stay in your own accounts.

What does an OperatorZero AI agent build cost?

Builds start at $6,000 at a fixed price agreed in a written scope before work starts. Most single workflow builds land between $8,000 and $15,000. If you did the $2,500 audit first, that fee comes off the build. See AI builds from $6,000.

Do I need the audit before a build?

No. Most clients start with the $2,500 AI workflow audit because it ranks where AI pays off and fixes the top win. If you already know the workflow, we can scope a build from $6,000 on the free call. See the AI workflow audit.

Can you tell me what my agent would cost before I pay anything?

Yes. The free 30-minute AI assessment call covers your workflow and gives you a price range for it, with a straight answer if you don't need us. What the free AI assessment covers.
